1. Information We Collect
Account Information
When you sign up, we collect your name, email address, phone number, and franchise business details (company name, address, service area).
Business Data
To power the platform, we import and store data from your connected services:
- ServiceMinder: Contacts, appointments, invoices, proposals, service history
- RingCentral: Call logs, call recordings (last 30 days for AI processing), SMS messages
- Gmail: Inbound lead notification emails from configured sources only (read-only access)
AI-Generated Data
Our AI processes calls and messages to generate summaries, categories, sentiment analysis, lead scores, and suggested responses. These are stored alongside the source data.
Usage Data
We collect information about how you use the platform: commands entered, features used, pages visited, feedback provided (thumbs up/down). This helps us improve the product.
2. How We Use Your Information
- Operating the platform: Processing calls, managing leads, creating tickets, scheduling appointments, sending notifications
- AI features: Categorizing calls, drafting personalized outreach, optimizing routes, generating insights
- Communications: Sending appointment confirmations, ticket updates, lead follow-ups, and retention outreach from your franchise's @raabet.ai email address
- Platform improvement: Analyzing aggregate usage patterns to identify bugs, improve AI accuracy, and prioritize new features
- Benchmarks: If you opt in, comparing your anonymized metrics against network averages
3. Data Isolation & Multi-Tenancy
Every franchise's data is strictly isolated. All database queries are filtered by your organization ID. Row-Level Security (RLS) policies enforce isolation at the database level. No franchise can access another franchise's data — even through a software bug.
4. Third-Party Services
We use the following third-party services to operate the platform:
- Google Gemini AI: Processes call transcripts, drafts messages, generates insights. Data is sent to Google's API for processing and is not used to train their models.
- ElevenLabs: Powers the Maya AI Receptionist voice agent (if enabled for your franchise).
- Stripe: Processes subscription payments. We never store your full credit card number.
- Resend: Sends transactional emails from @raabet.ai addresses.
- Supabase: Hosts our database with encryption at rest and automated backups.
- Cloudflare: Provides DNS, CDN, and access protection.
5. Data Retention
- Active accounts: Data is retained for the duration of your subscription.
- After cancellation: Data is retained for 30 days in case you reactivate, then archived.
- Archived data: Stored securely for an additional 90 days, then permanently deleted.
- Call recordings: Retained for 30 days for AI processing, then deleted. Transcripts and summaries are retained.
6. Data Security
- All data encrypted in transit (TLS 1.3) and at rest (AES-256)
- Database credentials rotated regularly
- OAuth tokens stored server-side, never exposed to the frontend
- API keys masked in all user-facing interfaces
- Role-based access control (owner, staff, super_admin)
- Automated daily database backups with point-in-time recovery
7. Your Rights
You have the right to:
- Access: Request a copy of all data we store about your franchise
- Correction: Update or correct inaccurate data
- Deletion: Request deletion of your data (subject to the retention schedule above)
- Export: Export your data in a standard format (CSV/JSON)
- Opt out of benchmarks: Disable anonymized network comparisons in your org settings
- Opt out of SMS: Your customers can text STOP to opt out of all automated messages
8. SMS & Email Communications
Raabet sends automated SMS and email on behalf of your franchise for:
- Lead follow-up (first-touch outreach to uncontacted leads)
- Appointment confirmations and reminders
- Ticket notifications
- Customer retention outreach
All automated messages respect opt-out requests. Customers who reply STOP are immediately flagged as do-not-text and receive no further automated messages. Business hours are enforced per franchise timezone.
9. Cookies & Tracking
The Raabet dashboard uses minimal cookies for session management only. We do not use third-party tracking pixels, advertising cookies, or analytics services that share data with advertisers.
10. Children's Privacy
Raabet.ai is a business operations platform. We do not knowingly collect data from anyone under 18.
11. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated via email to account owners. Continued use of the platform after changes constitutes acceptance.
